1. Students and judges must satisfy criteria stated on application form.
2. The Program Committee will be instructed to place all student papers scheduled for competition in a group
during an appropriate submitted paper session.
3. Three judges will judge each session.
4. Judges will be identified on judging sheets by number. A master copy of judge/number combinations will be
kept confidential by the chairperson of the Ad hoc Committee on Student Paper Competition. Judges may sign and
address the forms if desired.
5. Judging forms will be returned to the competitors after the Eastern Branch meeting.
6. If possible, judges will be solicited prior to the Annual Meeting. Judges will receive copies of the initial
application sheet, judging form, and procedures sheet before this meeting.
7. At the Annual Meeting, immediately before the paper competition begins, copies of the judging sheets which
have been filled out with competitors names and room assignments will be given to the judges with any last
minute instructions.
8. Judging forms should be returned to a designated member of the Committee within 15 minutes after the
submitted paper session is completed.
9. Judges are always given the option of recommending that no award be given in a specific category. The
judge should write in the comment section of the judging sheet that this is the case and why no presentation
should receive an award. Only if two out of the three judges feel that no award should be offered, then that
action will be taken.
10. If two presentations receive nearly the same ranking, the Committee has the option of recognizing the second
highest ranked paper with an honorable mention where no prize or certificate would be awarded.
11. Outgoing Chair of the Committee must provide incoming Chair with copies of judging forms and guidelines for judges.
